This Privacy Policy explains how OPTIMUM OVERSEAS CONSULTANTS (“Optimum Overseas Consultants”, “we”, “us”) collects, uses, shares and protects your personal data when you visit https://optimumoverseasconsultants.com, contact us, or use our study-abroad, visa and immigration services. It is written in line with India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Digital Personal Data Protection Rules, 2025, and the Information Technology Act, 2000 and its rules.

In short: we collect only what we need to advise you and prepare your application, we share it only with the universities, authorities and partners your application requires, we never sell your data, and you can ask us to see, correct or delete it at any time by writing to optimumoverseasconsultants@gmail.com.

What personal data we collect

When you enquire (website form, eligibility check, phone, WhatsApp, email or walk-in): your name, phone number, email address, country and city of residence, the service or country you are interested in, and anything you choose to write in your message.

When you become our client, depending on the service, we may also collect:

  • Identity and travel documents — passport, national ID, photographs, previous visas and travel history;
  • Education and test records — mark sheets, degrees, transcripts, IELTS / PTE / TOEFL / Duolingo scores;
  • Work history — offer letters, experience letters, salary slips, resumes;
  • Financial documents — bank statements, income tax returns, sponsorship and education-loan papers;
  • Family details — spouse, children, parents or sponsors where the visa requires them;
  • Other information an embassy or institution asks for, such as medical, police-clearance or marital records.

Automatically, when you browse: basic technical data such as IP address, browser type, pages visited and referring page, used to keep the website secure and working. If analytics is switched on, we use Google Analytics to understand which pages are useful (see “Cookies” below).

We do not ask for passwords, card numbers or bank PINs, and we will never ask for them over phone, email or WhatsApp.

We process your personal data on the basis of the consent you give when you tick the consent box on our forms, sign our service agreement, or share documents with us — and, where the law permits, for legitimate uses such as complying with a legal obligation. You can withdraw consent at any time by emailing optimumoverseasconsultants@gmail.com or replying “STOP” to our messages. Withdrawing is as easy as giving consent. It does not affect work already done, but we may be unable to continue a service that depends on that data.

By submitting an enquiry you agree that we may contact you by call, SMS, email or WhatsApp about that enquiry, even if your number is registered on the National Do Not Call (DND) registry. We will not send you promotional messages unless you have agreed to receive them.

Children’s data

Many of our students are under 18. For anyone under 18 we process personal data only with the verifiable consent of a parent or lawful guardian, as required by the DPDP Act. We do not track children or show them targeted advertising. If you believe a child has shared data with us without such consent, please contact us and we will delete it.

Who we share your data with

We share your data only as far as needed for the service you asked for:

  • Universities, colleges and schools you apply to, and their admission offices;
  • Embassies, high commissions, immigration departments and their official visa application centres (e.g. VFS Global, BLS International);
  • Licensed immigration representatives where a destination country requires one (for example a Regulated Canadian Immigration Consultant or a registered migration agent);
  • Service partners you ask us to involve — education-loan providers, banks, forex, insurance, accommodation, test centres, couriers;
  • Our technology providers — website hosting, email and messaging services — who process data only on our instructions;
  • Government or law-enforcement authorities when required by law, court order or to prevent fraud.

We never sell or rent your personal data to anyone.

Transfers outside India

Because you are applying to study, work or settle abroad, your data will necessarily be sent to institutions and authorities in your destination country, and some of our technology providers store data on servers outside India. We transfer data abroad only as permitted under the DPDP Act and do not transfer it to any country the Government of India has restricted.

How long we keep your data

  • Enquiries that do not become a case: up to 3 years from our last contact, then deleted.
  • Client files: for the duration of your case and up to 8 years afterwards, as required by tax and accounting laws and so we can help you with future applications, extensions or refusals.
  • Original documents are returned to you; we do not keep originals after your case is completed.

You can ask us to delete your data earlier; we will do so unless the law requires us to keep it.

How we protect your data

We use reasonable security practices in line with the IT Act, 2000 and the DPDP Rules, 2025, including encrypted (HTTPS) connections, password-protected systems with access limited to staff who need it, secure cloud storage, and staff confidentiality obligations. No system is completely secure, but if a personal data breach does occur we will inform affected users and the Data Protection Board of India as the law requires.

Cookies and analytics

  • Essential cookies keep the website and our secure staff area working. They cannot be switched off.
  • Analytics: when enabled, Google Analytics sets cookies to measure visits in aggregate. You can block these in your browser or with Google’s opt-out add-on.
  • Videos are loaded from YouTube’s privacy-enhanced mode only when you press play.
  • WhatsApp, maps and social links take you to third-party sites governed by their own privacy policies.

Your rights

Under the DPDP Act you have the right to:

  • Access — a summary of the personal data we hold about you and how we use it;
  • Correction and updating of inaccurate or incomplete data;
  • Erasure of data we no longer need or for which you withdraw consent;
  • Withdraw consent at any time;
  • Grievance redressal — a response from our Grievance Officer;
  • Nominate a person to exercise these rights on your behalf in case of death or incapacity.
